This Privacy Statement specifies the way in which Ahoy Rotterdam N.V. (hereinafter: 'Rotterdam Ahoy’, 'we’ and 'us’), with its registered office at Ahoyweg 10, 3084 BA Rotterdam and listed in the Commercial Register of the Chamber of Commerce under number 24149148, process your personal data (hereinafter: 'Personal Data’). Rotterdam Ahoy adheres to the requirements pursuant to legislation and regulations in respect of processing your Personal Data, including the requirements imposed by the General Data Protection Regulation (hereinafter: 'GDPR’). Who are we?
We are Rotterdam Ahoy, the place you associate with an experience. An experience that already starts when you visit the website, drive into the parking area or hang up your coat. And it only ends when you look at the photos of your visit to Ahoy and share them with friends or relations. We are 250 event professionals with a mission: creating circumstances and services that elevate your experiences and perceptions to the highest level. We continue innovating until we have reached the very best, without losing our recognisability.
What is Personal Data?
The term Personal Data refers to all information that can be used to identify a natural person, either directly or indirectly. Examples of Personal Data include first names, surnames, mobile and other telephone numbers, postal and email addresses, and dates of birth.
Personal Data relates to a natural person, i.e. the person concerned (hereinafter: the 'Data Subject’). The term 'processing’ refers a.o. to the compiling, storing, use, processing, consulting and transfer of Personal Data.
When you provide your data to Rotterdam Ahoy, you agree to the terms and conditions as recorded in this Privacy Statement. Rotterdam Ahoy ensures that the processing of your Personal Data is carried out with due care, in a secure manner.
How does Rotterdam Ahoy obtain Personal Data?
We compile and process your Personal Data on certain occasions, e.g. if you visit our website, if you register for our newsletters, if you purchase admission tickets for events organised by Rotterdam Ahoy, if you participate as an exhibitor in one of the activities organised by Rotterdam Ahoy, and if you attend our events and take part in our activities or those of our clients.
Which Personal Data and which Personal Data categories do we process?
Rotterdam Ahoy processes the following Personal Data and Personal Data categories for the following purposes:
Name, address, town or city of residence,
telephone number and email address
To prepare price quotes and conclude an agreement with you;
To perform the agreement you have concluded with us or with our clients (e.g. delivering your admission tickets and processing your registration for an event, exhibition or trade show);
To share your registration by means of your permission to have your badge scanned by exhibitors of a tradeshow or exhibition*.
To provide you with information on our products and services, special offers, events and any changes that may occur in respect of a certain event, e.g. through our newsletter or on social media;
To adjust our range of products and services to suit your personal preferences;
In the event of your participation in competitions or events, or to analyse your visit to events and our online media;
To improve our services, e.g. by conducting market research and surveys;
To enable you to use our Ahoy Wi-Fi free of charge after you register.
To improve and safeguard our website;
To display advertisements created especially for you through our advertising networks, including third parties’ websites;
To analyse your visit to our website.
Camera surveillance and registration of visual material
For commercial or security purposes.
You will receive a badge when you visit an event, tradeshow or exhibition. This badge contains the data you provided when registering. Your badge serves as an electronic business card. This means that you can choose - but are in no way obliged - to have your badge scanned by an exhibitor, which can subsequently contact you with information about its products or services. By having your badge scanned, you give explicit permission to share your data with the relevant exhibitor but also to the exhibitor to contact you.
We do not intend to compile any data on visitors to our website who are aged under 16. However, we are unable to verify whether any of our visitors are aged over 16. We therefore advise parents to monitor their children’s online activities in order to avoid data being compiled on children without their parents’ consent.
What is the basis of the processing?
Rotterdam Ahoy primarily processes Personal Data on the basis of consent and/or performance of the agreement, or a legitimate interest. Rotterdam Ahoy has a legitimate interest in processing your Personal Data by means of camera surveillance and registration of visual material for commercial or security purposes. The purpose of camera surveillance is to guarantee your safety as a visitor.
As a visitor, upon entering Rotterdam Ahoy, you will be notified of such processing by means of the House Rules www.ahoy.nl/house-rules . If you have any reasonable objections to the visual material published, please contact us at firstname.lastname@example.org .
How do we safeguard your Personal Data?
We maintain a security level at all times when processing Personal Data, which must be more than sufficient - in view of the state of the art - to prevent unauthorised access to Personal Data, or amendments, publications and/or loss of such Personal Data.
How long do we store Personal Data?
We store your Personal Data for as long as is necessary to attain the objectives specified above.
Provision of Personal Data to third parties
Rotterdam Ahoy will not provide any Personal Data to third parties unless this is necessary for performance of our services and/or for compliance with a statutory obligation. Insofar as such third parties process your Personal Data in this connection, they do so in principle in their capacity of data processor. To this end, we conclude a Data Processor Agreement in order to ensure that third parties adhere to the same level of security and confidentiality for your Personal Data. In such cases, Rotterdam Ahoy remains responsible for this processing.
Rotterdam Ahoy will not provide Personal Data to any third parties in countries outside the European Economic Area (hereinafter: 'EEA’) without compliance with the conditions laid down in the GDPR.

What rights do you have as a Data Subject?
You are entitled to view the exact registration date for your Personal Data at all times; in order to safeguard your privacy, you will receive a verification mail each time that you register for a newsletter on our website. If you are unable to unsubscribe from one or more of our newsletters through the 'unsubscribe’ link, please send an email with a request to unsubscribe to email@example.com
clearly specifying which newsletter you wish to unsubscribe from.
We consider it important to ensure that your Personal Data is correct and up to date. Pursuant to privacy legislation, you have the following rights as a Data Subject:

If you have a complaint about the way in which we process your Personal Data, please contact us. You can send your complaint by email to email@example.com . We will endeavour to process your complaint within four weeks of receipt. If the way in which we have dealt with your complaint does not fulfil your expectations, please contact the DPA. However, we trust that this will not be the case. The DPA monitors compliance with privacy legislation. You can always submit a complaint to the DPA.
